Below is an abbreviated version of the Terms & Conditions.
- All activities in the library’s meeting areas must be free and open to any member of the public who wants to attend.
- Prohibited Activities:
Library meeting areas may not be used for any activity that is incompatible with the library environment or interferes with its operations. Charging admission or registration fees, and/or soliciting donations other than in conjunction with a program or event sponsored or hosted by the Friends of the Library organization are prohibited. .Examples of other prohibited activities include but are not limited to:- Programs involving the solicitation, sale, advertising, marketing, or promotion of commercial products or services whether benefiting an individual or a for-profit or not-for profit organization at the time of the meeting or in the future
- Personal events such as birthday parties, baby showers, or other private parties, etc.
- Library staff retains the right to attend any meetings or events scheduled at the library to ensure compliance with this policy
- Prohibited Activities:
- You must be 18 or over to book one of the meeting rooms.
Usage Rules
- Reservation requests are moderated. You will be contacted within 2 business days of your request (holidays may take longer). Your request is not confirmed until you receive a confirmation email from the library.
- Meeting rooms can be booked from two (2) to ninety (90) days in advance.
- Usage is limited to no more than two (2) meetings per month, per group and/or individual.
- If the representative of the group who has reserved the room fails to check in with the library staff within fifteen (15) minutes of the start of the reservation, the library may, at its discretion, cancel the reservation.
- Please be courteous to other patrons and cancel your room if you no longer need it. Cancellations must be done by 2 days prior to reservation; otherwise it will still count as a booking for your group.
- Groups are responsible for set-up and take down of the room. The room must be returned to its original state. This includes removing trash.
- Meeting rooms are for groups of 15+ people OR for after-hours use. Groups of 16 people or fewer should book a conference room. Groups of 1-8 people should book a Study Room. Larger groups should book the Teaching Theater.
- Please tell your attendees where your meeting is.
- If your meeting is occurring while we are closing the building, all attendees must be in the meeting or exit the building.
Branch Meeting Area Policy
The policies and procedures for the use of meeting areas in the Branch Library of the Brazoria County Library System are established herein. The responsibility for implementing this policy and for scheduling the use of the meeting areas rests with the individual librarian in charge of the building where the meeting areas are located. The Library Director retains final authority for implementing these policies.
Purpose
The primary purpose of the meeting areas is for programs presented by the library or library-related organizations. The general public may use the meeting areas in the library when those areas are not required for the library or library-related organizations’ use. Meeting areas may be used by groups for educational, informational, civic, or cultural programs.
- Unless indicated otherwise, meeting areas are available for use during normal library hours of operation. Procedures for accessing meeting areas after hours vary by library.
- All activities in the library’s meeting areas must be free and open to any member of the public who wants to attend.

Space Priority
- Library-related functions will be given first priority.
- Other requests will be considered on a first-come, first-served basis. Any previous approvals may be canceled at any time if the area is needed for official governmental business or the reservation conflicts with library programming. The reservation shall be canceled and may be rescheduled at the group's request.
- A calendar of each branch’s area availability can be accessed online.
Reservations
- There is no charge for the use of the library meeting areas.
- A key may be required for after-hours access to the building. Failure to return the key will result in a fee.
- A representative of the group or an individual reserving an area must hold a Brazoria County Library System card in good standing.
- Area requests can be submitted no more than 90 days (3 months) and no less than 24 hours in advance.
- To ensure equitable use of library facilities, the library reserves the right to limit usage.
- Reservations are not automatically renewable.
- Reservation requests are moderated. Requests are not confirmed until receipt of confirmation email.
- The length of time requested for the meeting should include time for setting up the meeting areas and putting it back in order at the end of the meeting. If the meeting extends beyond the scheduled time, the staff member in charge may request that the meeting be adjourned.
- The room requestor or designee must be present throughout the length of the meeting.
- The individual making the reservation, as well as the membership of the group as a whole, will be held financially responsible for any and all damage that may occur as a result of the use of the facilities. Permission to use the library meeting areas may be withheld from groups whose members or invitees cause damage, or fail to comply with these rules and regulations. Individuals causing disturbances during meetings will be asked to leave.
- Cancellations by either the group or the library must be made 24 hours in advance of the meeting date in order to free the room for other groups. Repeated cancellations or failure to show could result in the withdrawal of meeting room privileges.
Usage of Meeting Room
- Area set-up and take down are the group’s responsibility. No additional furniture or equipment other than that already available in the meeting areas will be provided unless prior arrangements have been made. Staff can offer limited assistance with equipment. It is the group’s responsibility to determine equipment compatibility.
- If the representative of the group who has reserved an area fails to check in with the library staff within fifteen (15) minutes of the start of the reservation, the library may, at its discretion, cancel the reservation.
- The group shall leave the area in the same condition as it was found at the beginning of the meeting. The authorized representative of the group must report to library staff at the end of the meeting. Library staff may conduct a walk-through after each meeting to verify that the areas, fixtures, and equipment are left in proper order. If an after-hours meeting, the walk-through may be conducted the next business day.
- Groups must vacate the meeting room 15 minutes before library closing time unless using an after-hours area.
- Attendance at meetings must be limited to the seating capacity specified by the Fire Marshal. Meeting area applications will state area capacities. Open aisles must be maintained within the seating arrangement to provide clear access to exits in case of emergency. For statistical purposes the number of people attending must be reported to the library.
- Groups must obtain permission from the branch librarian before affixing articles to the walls in the meeting areas.
- Library staff will not handle reservations or incoming phone calls for any non-library-related Outgoing calls may not be made for any non- library-related organization.
- Light refreshments may be served, but groups may not prepare food on library property. Groups are responsible for cleanup and removal of trash from the building. Food debris may not be left in the building.
- Smoking or vaping is not allowed in the library. Alcoholic beverages may not be dispensed or consumed in any part of the library or library property.
- The library will not be responsible for lost or damaged materials.
- The individual making the reservation, as well as the membership of the group as a whole, agree to indemnify and hold the City and County harmless from and against any and all losses, expenses, demands, and claims made against the City and County arising in any manner from such group’s use of the library facilities.
- The individual making the reservation, as well as the membership of the group as a whole, agree to comply with all applicable federal, state, county, and city ordinances, rules and regulations now in force or which may hereafter be enacted or promulgated.
Failure to comply with any of these rules may result in refusal by the library to allow future meetings by the offending group or individual. Use of the library’s meeting areas and spaces does not constitute endorsement, by the City, County or the Library, of points of view expressed by the group. No advertisement or announcement implying such endorsement will be permitted. The library’s address, logo or phone number may not be used in any context that implies affiliation with or endorsement by the library.

Yes.
To book both meeting rooms, click on the times in both meeting rooms. Selecting both rooms will count as two bookings. Please be sure that the rooms are avaialble for the same time. We reserve the right to deny combined bookings if they impact other groups' use.

Extra time outside of what is included in the request is not provided. For this reason, all time needed before and after for set up and clean up MUST be included in the time that is requested. The room cannot be accessed until the exact start time requested, and the room must be cleaned and vacated by the end time in the request.

Library policy states that spaces must be used for "educational, informational, civic, or cultural programs." Personal or private events and meetings are against library policy. Please be aware that while library patrons may not want to participate, library policy states that all meetings and events held on library property must be open to the public. Booking requests must have a brief stated intent for using the space or description of events taking place during the requested time. Any requests for personal parties, meetings, or events, or requests that do not explain what will be taking place, will be denied.

Many organizations and groups use the rooms for a variety of programs and purposes. The library is shared by all community groups and members and must be available to everyone equally. Due to demand, limits on these types of spaces are 2 bookings PER PERSON and GROUP PER MONTH. No exceptions can be made. Groups attempting to circumnavigate this policy by completing applications from multiple members will have their bookings canceled and may be prohibited from using the meeting room in the future.
Yes.
All large meeting spaces have some sort of screen for display. The meeting rooms and teaching theater have a projector screen, and the conference room has a large screen TV on the wall. Clickshare USBC and HDMI connections are provided, but patrons must bring their own laptops or devices to connect. Thorough step by step instructions are included in the rooms. Patrons must connect and operate their own devices.

VIP access is an approved addition to library accounts and gives patrons access to the patron gallery and connected spaces upon request before and after hours. If your booking request begins at a time the library is closed, you must have VIP access to receive an approval to use the meeting rooms or teaching theater during that time. Meeting attendees do not necessarily have to have VIP access, but keep in mind that you are responsible for anyone that you let in the building during library hours. Room requests made with start times before or after library hours by accounts without VIP access will be denied. Library policy states that you cannot use the library spaces to solicit, sell, or market services and/or products. You may not charge any amount of money for any reason at all when using the library space for your event and no money can be exchanged for the duration of the time you use the library. In addition, there must be absolutely no prior admission or participation charges, services and activities provided during event must be absolutely free for all who attend. Solicitation of products and services is also prohibited in the library.

Library staff is required to leave the building at library close. All reservation holders for all spaces must check in with staff to get a key and access to the room. If access to a reserved space is needed before or after hours in the meeting rooms or teaching theater, the booking creator must come in during library hours to check out a key. This does not mean there will be extra time granted – keys for rooms that begin at or after close will not be checked out more than an hour before library close. The room must be locked and the key must be returned.
Yes.
Each meeting room has 14 tables and 32 chairs available in the attached storage room. It is the group's responsibility to set-up and take down the room. Each room also has a podium.
It depends.
Food may be allowed at varying levels depending on the space requested. Food allowance is as follows: Conference Room: No food is allowed, only individual beverages with lids are allowed. Meeting Rooms: Food is allowed, meeting room 1 has an attached kitchen. Teaching Theater: Light refreshments are allowed. Examples are fruit trays, crackers, chips, etc.
If you are having food delivered please arrange to have someone meet the delivery person. Staff are unable to accept deliveries.
Yes.
The room needs to be returned to its original state. If you took tables from the storage closet, please return them. If the trash can is full, the group MUST take the trash to the dumpster on the west side of the building. Extra trash bags are available inside the cans and brooms are available in storage closets.

Room capacity is dictated by the Fire Marshal and is strictly enforced. Maximum capacity is as follows: Conference Room: 16, Meeting Rooms: 60 each without furniture, 32 each with all provided furnishings, Teaching Theater: 100

While the library can accommodate your meeting or event, the library is not hosting. Since your event is not an official library event, please remember to communicate information regarding your event on your own outside of the library. You can say your meeting is at the library with our address.
